Position Overview
We are seeking an experienced and highly organized Homebuying Transaction Coordinator to manage the purchase and sale of off-market properties from contract to close within a fast-paced wholesale real estate environment.
This role is responsible for coordinating transactions, communicating with buyers, sellers, title companies, attorneys, and internal teams, and helping ensure transactions move efficiently through the closing process. The ideal candidate has experience handling real estate transactions involving unique situations such as probate, foreclosure, inherited properties, title issues, post-occupancy agreements, and other distressed-property scenarios.
The right candidate is proactive, detail-oriented, solutions-driven, and comfortable managing multiple transactions simultaneously while maintaining a high level of professionalism and communication.
Responsibilities
Transaction Coordination & Closing Management
- Manage real estate transactions from executed contract through closing
- Coordinate with title companies, escrow officers, attorneys, buyers, sellers, and vendors throughout the transaction process
- Review contracts, closing documents, and transaction files for accuracy and completeness
- Track critical dates, contingencies, title requirements, and closing deadlines
- Ensure all required documentation is completed accurately and on time
- Coordinate closely with acquisitions, dispositions, and operations teams to ensure smooth closings
Title & Problem Resolution
- Assist with resolving title, escrow, probate, lien, payoff, and closing-related issues
- Help manage distressed-property situations including probate, foreclosure, inherited properties, and post-occupancy agreements
- Identify potential transaction risks early and escalate issues appropriately
- Coordinate with title companies through settlement to help ensure successful closings
Communication & Customer Service
- Communicate consistently with homeowners, buyers, title companies, attorneys, and internal team members throughout the transaction process
- Provide a high level of professionalism, organization, and customer service during sensitive or complex situations
- Maintain accurate and organized transaction records within CRM and transaction management systems
Compliance & Operations Support
- Ensure compliance with company processes, documentation standards, and transaction requirements
- Maintain organized files, notes, and transaction updates
- Support operational efficiency by helping improve workflows and transaction coordination processes
Qualifications
- 3–5+ years of experience in real estate transaction coordination, title, escrow, mortgage, or related real estate operations
- Strong understanding of real estate contracts, title, escrow, and closing procedures
- General knowledge of probate, foreclosure, inherited properties, liens, bankruptcy, or distressed-property transactions preferred
- Experience working within a real estate investment, wholesale, fix-and-flip, or high-volume transaction environment strongly preferred
- Strong communication, follow-up, and problem-solving abilities
- Ability to manage multiple transactions and deadlines simultaneously in a fast-paced environment
- Exceptional organizational skills and attention to detail
- Ability to build rapport quickly and maintain homeowner trust during sensitive situations
- Experience with CRM and transaction management systems preferred
- Title company, escrow, or investor-transaction experience is a major plus
